How do I set up my company's customized MyProposal?


It's possible to customize proposal templates on EverBright's Organization Settings under Proposal Phase.

MyProposal

All accounts have the EverBright Proposal template available to use by default. To start using MyProposal, a user with Organization Administrator permissions can create at least one copy of the EverBright Proposal template to use and/or customize.

Proposal templates

Clicking the Proposal Phase under Organization Settings will bring you to the proposal templates home. From here, you can view existing MyProposal templates or create a new template.

Existing template options

For existing templates, you can select Open Template to view or edit the template. You also have options to Rename, Duplicate, or Archive a template when you click on the Options icon (3 vertically aligned dots).

Please note though that Default Templates cannot be Archived or set to Inactive

We highly recommended to duplicate or create a new template from an existing one to make updates and changes rather than risk making a mistake to a template you edit directly.

The EverBright Proposal is locked indicating that this proposal template content is protected. Locked templates can be identified through a lock icon on its upper left corner. Notice that the Sample Proposal (a duplicated and renamed copy of the EverBright Proposal) does not have a lock icon.

You can duplicate a locked proposal or create a new template as a copy in order to have an editable template.

Rename

The Rename option on a proposal allows a user with admin status to set an easily recognizable name for the template created. The proposal template name will be used in the proposal tool when users are selecting which proposal to download and present.

Duplicate

The Duplicate option on a proposal allows a user to save a version on a new template before updating.

Archive

The Archive option allows a user to remove a proposal from the templates available for selection in the proposal tool.

New templates

To create a new template, Click + New Template on the upper right corner of the platform. To start, you will select which existing template to duplicate and modify as a starting point. Click on a template to select it.

View or edit a template

To view or edit an existing template, click Open Template for the template you would like to open. This will bring you to the proposal template review and edit screen.

Here are the main parts of the Proposal Template.

On the top-left corner of the page, you can view and edit the Proposal name. This can be edited using the pencil icon beside it.
On the left panel, you can toggle between page navigation and page settings. This is also where you can add/remove/rename pages and make changes on the default color scheme.

The main part of the screen shows the selected template page. This is also how the page will appear to prospective customers that receive the link, with the key difference that project-specific metrics will be populated for any proposal sent out using the tool.

There are 4 icons on the top right corner of the proposal page, which are (in order) options to Edit the template page, add or change the page background, delete the page background image, and tweak page settings.

Here's how the page settings tab looks like from the left panel. This is where the color scheme for a proposal template can be edited.

Edit a template page

To edit a template page, click Edit on the upper right part of the page. From here, you will see a new menu bar along the top of the screen. You can use this menu to edit the text included on the page. You can also insert images, links, tables, and metrics here.

Metrics

Metrics are dynamic values that updated based on each project. Metrics are outlined in purple to help show which values on the page are static (same for every proposal) vs dynamic data (different based on the specific project).

Be careful not to delete letters out of the metric names inserted on a page. You can copy and paste metrics to move them (CTRL+C and CTRL+V) or use the Insert menu to add a new metric to a page.

Re-name a page

You can re-name a page using the pencil icon to the left of the page name, or using the upper edit icon for whatever page is being viewed. The page name is the name that will also be shown to prospective customers viewing the proposal on their web browser.

Other template page options

  • On the left side menu, you can rename a page, change page order, delete a page, or add a new blank page.
  • To rename a page, hover over the page and then click on the edit icon.
  • To change page order, click and drag the stack icon. This will let you move a given page up or down. Release when it is in the desired order.
  • To delete a page, use the "x" icon to remove it.
  • To add a new blank page, click + New Page in the side menu below the last current page.

Tips

  • Remember that the proposal templates created and viewable in the MyProposal Settings will be the proposals available for selection in the main quoting and proposal tool. It's always a good idea to give proposals clear, usable names since these are the name that users will see.
  • Duplicate proposal templates to protect live versions and archive proposals to keep the proposal list clean of old versions.
