How do I customize a Proposal Email?

A user with Organization Admin permissions can now modify Proposal Emails. You can edit the email body, add CC recipients, add a custom sign-off and add custom notes. Keep reading the sections below for a more detailed walkthrough.

How do I get started?

Note that only a user with Organization Admin permissions will be able to access this page.

  1. Go to Settings (the gear icon on the top right part of the screen).

  2. Then, choose Proposal Phase on the left panel.

  3. The Proposal Phase settings will be shown. Look for the “Emails” tab.

  4. Once on this page, click on the blue “Edit” button on the right side of “Email Content” box.

 

What Settings can I edit?

Allow Emails to be Fully Editable: The first setting is the option to allow emails to be fully editable. This can be toggled on or off.  

If turned on, all proposal email details will be editable by any users with edit access on the proposal phase of a job.

Note that, when the fully editable setting is enabled, all fields will be editable - including the ability to add notes. Thus, the "Allow Custom Note" toggle below will automatically be toggled on, and greyed out.  Also note that the standard image of a solar-friendly home that appears on all proposals is not an editable field, whether the fully editable toggle is on or off.

 

CC Emails: Users can add CC Emails by clicking on “Add Email”. Here, add one or multiple emails. Input one email for each field, and click on Add Email, and repeat for multiples if necessary.

 

If an invalid email is used by mistake, the platform won't allow to the entry to save. An error message will appear after attempting to click “Save”.

 

 

Allow Custom Note: As mentioned above, if the “Allow Emails to be Fully Editable” toggle is turned on, then the Allow Custom Note will automatically be enabled (always).

However, if the “Allow Emails to be Fully Editable” toggle is turned off, admins can designate whether users within their can a Custom Note in the proposal email. This will be inserted below the body and above the signoff.

 

Signoff: Lastly for the signoff, there have two options:

  1. EverBright “Default” - This will use EverBright's default message as the signoff:

    "Got questions? Reach out to {sender} ({sender’s email}) at {organization name}."

  2. “None” - This will ensure no message is included.

 

How does it look for users trying to send a proposal email on a job?

Compiled below are several examples of how these settings impact the final proposal email product.

For all examples below, CC Emails only include one email: "testemail@gmail.com"

In the first example below, the following settings were applied:

  1. Allow Email to be Fully Editable - False

  2. Allow Custom Note - True

  3. Signoff - Default

 

In this example, the following settings were applied:

  1. Allow Email to be Fully Editable - True

  2. Allow Custom Note - Disabled (since Allow Email to be Fully Editable is set to True)

  3. Signoff - None
